Add one or more windows per day; split a day if you need to (e.g. 1800–2300 then 0300–0600). Crew Leader / Driver roles are assigned by your Team Leader at approval.

Turnout reporting

Availability and gap-cover hours per member, less any leader adjustments, for the selected period.

Whole weeks overlapping the selected range are included (data is held per week). “Day / Night on-call total” is the time each shift was on call in the period (default Day 60h, Night 108h per week — both editable in Settings). Compare them to Day / Night available to see coverage depth. “Adjusted total” subtracts hours deducted via leader notes. Last on roster shows the most recent Monday-week (across all time — not scoped to the range) where the member had at least one approved or cancelled slot; entries older than 60 days are highlighted red.

Training attendance

Calendar-year Monday attendance plus ad-hoc credits. 60% threshold required.

Eligible Mondays = Mondays in the date range that were NOT marked "No Training" AND the member was NOT on leave. Attendance % = (Mondays attended + ad-hoc credits) ÷ eligible Mondays. Green ≥ 60% · Amber currently ≥ 60% but two more absences would drop them below · Red < 60%.

Sunday Maintenance attendance

Red / Blue / Green teams only. Each team's Sundays follow the night on-call rotation. No % threshold — informational only.

Eligible Sundays = Sundays their team was on call, NOT marked "No Maintenance", within the range and after the member's join date. Non-Op members are credited when present but never counted in the denominator — attendance is optional for them. Members on leave, before joining, or after being moved off the night rotation are excluded from their team's counts.

Training

Training group and RCR team allocations. Admin and Training Team can shuffle and edit; everyone else views.
Core training groups

CMS is reserved for new (probationary) members — moved manually from Members admin. Shuffle only rebalances Group 2 and Group 3, keeping CL · RCR · C-SAW · SWAHS evenly spread.

RCR training teams

RCR-qualified members only. Shuffle balances CL and SWAHS across the six teams.

On-call rotation hours — per week

Total time each shift is on call in a week. Used in Reports to compare available hours against total rotation time. Defaults: Day 60h (Mon–Fri 0600–1800), Night 108h (weeknights + Fri 1800→Mon 0600).

Week locking

Past roster weeks become view only after this many days beyond the Sunday end. Prevents accidental edits to historical data. Admins can reopen any locked week for editing (audited).

Dashboard display

Controls the Unit Dashboard wall display. Changes apply to the display automatically within a few seconds — no need to touch the screen.

Dashboard ticker

Optional scrolling message along the bottom of the wall display — useful for notices, alerts, reminders. Updates within a few seconds.

Public holidays (Victoria)

Shown for awareness on the Roster and My Availability pages. Generate fills the predictable Victorian holidays for this year and the next two; add the announced ones (e.g. Friday before the AFL Grand Final) manually and review weekend substitute days.

Backup & restore

Export downloads a full JSON snapshot of everything — members, roster availability, training topics & attendance, ad-hoc training sessions, Sunday maintenance, deployments, bookings & recurring booking patterns, rooms & vehicles, external organisations, booking categories, holidays, settings, dashboard config, roster snapshots and year archives. Take one before any change. Import replaces current data with the chosen backup.

Attendance log export

Download the unit attendance sign-in/out log (from the entry kiosks) for a date range, as CSV for your records. Kept here on the Admin settings — not on the kiosks — so only an admin can export it.


Full attendance database backup — separate from the main roster backup since attendance data is stored in its own Supabase table. Backup covers all attendance records across the entire history. Import merges records without overwriting existing entries — safe to re-import the same file.

Archive locked weeks

Move weeks that are past the lock grace period + 14 days into year-specific archive blobs (out of the active roster data). Reduces the size of the live roster blob and protects historical data if the current roster is ever wiped. Reports automatically merge archived weeks into their date range — reopening an archived week is only needed if you want to view or edit it in the Roster / Availability views.

Roster snapshots

Every roster publish saves an immutable snapshot. If the current week's data is lost or corrupted, an admin can restore from any recent snapshot below. Snapshots older than 1 month are pruned automatically.

Purge roster data (go-live reset)

Deletes all roster and reporting data — every week's availability, manual roster additions, duty officers, member notes, change log and the hours behind the reports. Your Members, qualifications, SES IDs, settings and public holidays are kept. Use this once when going live to start with a clean, empty roster. Export a backup first if unsure.
